Terms & conditions

Welcome to Waxline. These terms (the “Terms”) form a binding agreement between you and Waxline when you use our website, mobile views, transactional emails or related services (“Waxline”). By creating an account or placing an order you confirm that you have read, understood and accepted these Terms. If you don't agree, please don't use Waxline.

1. Definitions

  • Waxline — the marketplace operator, a brand registered in the Netherlands.
  • Buyer — anyone placing an order through Waxline.eu.
  • Seller — a record store, professional dealer (business) or private collector (hobby) who lists records for sale on Waxline.
  • Order — the agreement between Buyer and Seller for a specific record, recorded via Waxline.

2. Our role

Waxline operates the marketplace. We are not the seller of record: each Order is a sales contract between you (Buyer) and the Seller of that listing. Waxline provides the technical platform, escrows the payment until delivery, mediates disputes through Buyer Protection, and arranges shipping labels through Sendcloud.

3. Eligibility & account

You must be at least 16 years old to create a buyer account, and at least 18 to create a seller store or place a paid order. You are responsible for keeping your sign-in credentials secure and for any activity under your account. Notify us immediately at hello@waxline.eu if you suspect unauthorised use.

4. Listings & orders

Sellers warrant that listings accurately describe the record — title, artist, year, pressing, condition (Mint, Near Mint, VG+, VG or Good per the Goldmine grading standard) and any defects. Sellers also warrant that they have legal title to sell the record.

Pricing on Waxline is shown in EUR and includes VAT where applicable. Shipping is calculated separately and shown before you confirm the Order.

An Order is binding once the buyer completes the checkout and the payment is captured. Until that point a record can still be sold to a faster buyer. After capture the seller is required to ship within five business days.

5. Payment & fees

Payment is processed by Mollie B.V. Waxline charges:

  • Buyer Protection fee — a small percentage of the order total, shown clearly at checkout.
  • Seller transaction fee — 6.5% of each completed sale, plus a 3.5% payment processing fee, plus VAT where applicable. Net payouts are released to the seller's registered IBAN after the order is marked delivered and the dispute window closes.
  • Currency — all amounts are EUR. Currency conversion costs charged by your bank are out of our control.

6. Shipping & delivery

Sellers ship via the carrier shown on the listing (DPD, PostNL or equivalent) using a label generated through Sendcloud. Risk of loss passes to the buyer on delivery. If a parcel is lost or damaged in transit, contact us within 7 days of the expected delivery date and we'll open a claim.

7. Returns & right of withdrawal

Your right to return depends on the seller type, which is shown clearly on every listing and at checkout. In short:

  • Business seller — you have a 14-day cooling-off period under EU Distance Selling rules, provided the record is unplayed and the return form is included.
  • Private (hobby) seller — second-hand records sold consumer-to-consumer have no automatic right of return, but Buyer Protection still covers misdescription, damage and non-delivery.

8. Buyer Protection

Every Order is covered by Buyer Protection. If the record arrives damaged, mislabelled or in a worse condition than the listing claimed, open a dispute from your order page within 7 days of delivery. Waxline reviews the case in good faith and refunds the difference or the full amount through the escrow.

9. Prohibited use

You agree not to use Waxline to:

  • list counterfeit, bootleg or unauthorised re-pressings;
  • list records you do not have legal title to sell;
  • list illegal, hateful, infringing or misleading content;
  • circumvent the platform to settle payment off-Waxline;
  • scrape, reverse-engineer or interfere with the platform;
  • create more than one buyer account per person.

Violations can lead to listing removal, account suspension, refund clawback, and where applicable referral to law enforcement.

10. Intellectual property

All content on Waxline.eu — software, design, editorial articles, the WAXLINE wordmark — is owned by Waxline or licensed to it. Listings, photos and album metadata uploaded by sellers remain their property; by listing them on Waxline they grant Waxline a worldwide, non-exclusive licence to host, display and promote that content for the purpose of running the marketplace.

11. Liability

Waxline is liable to the buyer up to the total of the disputed order. We are not liable for indirect, consequential or unforeseeable damages arising from a seller's conduct beyond the cover provided by Buyer Protection. Nothing in these Terms limits or excludes liability that cannot be limited or excluded under Dutch consumer law.

12. Dispute resolution

Always start by emailing hello@waxline.eu — most issues are resolved within one business day. If we can't agree, you may bring the dispute to the European Online Dispute Resolution platform (ec.europa.eu/consumers/odr) or to the competent Dutch court. Dutch law applies.

13. Changes

We may update these Terms occasionally. Substantial changes will be announced by email at least 30 days before they take effect. The version published at the time of your Order applies to that Order.
